This privacy policy explains how Payani Media LLC, doing business as Payani.ai ("Payani," "we," "us," or "our"), collects, uses, shares, and protects information when you visit our website, create an account, or use our marketing platform (the "Service"). It also describes the choices you have and the rights you can exercise.
Payani provides a marketing platform that combines CRM, email, content, and analytics on one database. In providing the Service we act as a data controller for our own account and website data, and as a data processor for the customer data you upload and manage through the Service.
Information we collect
Account information
When you register, we collect your name, work email, company name, role, and login credentials. If you sign in through a third party such as Google, LinkedIn, or GitHub, we receive basic profile information from that provider as permitted by your settings there.
Customer data you process
The Service lets you import and manage records about your own contacts and prospects, including names, email addresses, phone numbers, company details, communication history, and pipeline activity. You control this customer data. We process it on your behalf to provide the Service and in line with your instructions and our agreement with you.
Payment information
Paid subscriptions are billed through Stripe. Stripe collects and processes your payment card details directly. We do not store full card numbers. We retain limited billing records such as your plan, invoices, and the last four digits of your card.
Usage, device, and log data
We automatically collect information about how you use the Service, including IP address, browser and device type, pages viewed, features used, referring URLs, and timestamps. We use this for security, troubleshooting, and improving the Service.
Cookies and similar technologies
We and our providers use cookies, local storage, and similar technologies to keep you signed in, remember preferences, measure traffic, and understand product usage. See the "Cookies and tracking" section below for details and your choices.
How we use information
- To provide, operate, secure, and maintain the Service.
- To create and manage your account and process your subscription.
- To personalize features, generate analytics, and improve product performance.
- To communicate with you about updates, security notices, and support requests.
- To send product and marketing messages where permitted, which you can opt out of at any time.
- To detect, prevent, and address fraud, abuse, and technical issues.
- To comply with legal obligations and enforce our terms.
AI processing
Some features use artificial intelligence to draft content, summarize records, score leads, and surface insights. To provide these features we may send relevant inputs to AI providers, including OpenAI and Anthropic, and we run infrastructure on Amazon Web Services. These providers act as our subprocessors and process data under contractual terms. We do not permit these providers to use your data to train their general-purpose models. Data received from Google Workspace APIs is never used to develop, improve, or train any AI or machine learning models, and is used only to provide the features you enable.
Google user data
Payani's use of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Google Calendar data accessed through the Service is used only to provide the scheduling features you enable (reading your availability to prevent double-booking, and creating, updating, or cancelling the meetings you book). We do not sell this data, we do not transfer it except to provide these features, and we do not use raw or derived Google user data to develop, improve, or train generalized or foundational AI or machine learning models.
For users who connect a Google account to send email, Payani uses the gmail.send permission solely to send the individual emails you compose and send from within the Service. We do not read, modify, store, or delete your email messages, and we do not access your mailbox contents.
Cookies and tracking
We group cookies and similar technologies into the following categories:
- Strictly necessary. Required to sign in, keep your session secure, and load the Service.
- Preferences. Remember settings such as language and layout.
- Analytics. Help us understand usage so we can improve the Service.
- Advertising. Used with partners such as Google and LinkedIn to measure campaigns and, where permitted, show relevant ads.
You can manage non-essential cookies through our cookie controls and your browser settings. To opt out of advertising tracking or exercise your privacy rights, see Your privacy choices. Blocking some cookies may affect how the Service works.
How we share information
We do not sell your personal information. We share information with:
- Service providers and subprocessors that help us operate the Service. The current list is on our Subprocessors page.
- Integrations you connect, which receive or send data at your direction and under their own privacy terms.
- Legal and safety recipients when required by law or to protect rights, property, and safety.
- Business transfers, such as a merger, acquisition, or sale of assets, subject to this policy.
Data retention
We keep personal information for as long as your account is active and as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce our agreements. When data is no longer needed we delete or de-identify it. Customer data is retained and deleted according to your settings and our agreement with you.
Data security
We use administrative, technical, and physical safeguards designed to protect information, including encryption in transit, access controls, and monitoring. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
International transfers
We operate in the United States and may process information in other countries. Where required, we use appropriate safeguards such as standard contractual clauses for transfers of personal data across borders.
Your rights and choices
Depending on where you live, you may have rights to access, correct, delete, port, or restrict the processing of your personal information, and to object to certain processing. You may also have the right to opt out of targeted advertising and to withdraw consent. To exercise these rights, use Your privacy choices or contact us using the details below. If we process data on behalf of a customer, we will refer your request to that customer.
Children's privacy
The Service is intended for businesses and is not directed to children under 16. We do not knowingly collect personal information from children.
Changes to this policy
We may update this policy from time to time. If we make material changes, we will notify you through the Service or by email and update the "last updated" date above.
